On The Fly Mobile Repair

Privacy Policy

Effective date: November 5, 2026

Who we are and how to contact us

On The Fly Mobile Repair (OTF, “we,” “us,” or “our”) provides device repairs, accessory sales, and repair services for business partners. This policy explains how we handle personal information in connection with ontheflymobilerepair.com, our online store, partner portal, and related communications.

For privacy questions or requests, contact ontheflymobilerepairs@gmail.com or 484-358-2964. Please do not include passwords, payment-card details, or unrelated sensitive documents in your request.

Information we collect

Depending on the service you use, we collect:

  • Contact and account information: your name, business name, email, phone number, account details, and service, pickup, return, or delivery address.
  • Order and payment records: items, quantities, prices, discounts or referral codes, taxes, shipping choices, transaction references, payment status, and refund records.
  • Repair information: device model and identifying details you provide, reported problems, repair requests, diagnostic findings, quotes, approvals, parts used, repair status, and communications about the device.
  • Partner records and attachments: business applications, authorized contacts, repair photographs and documents, and tax-exemption evidence where applicable. Provide only information needed for the service and obtain permission before submitting another person's information.
  • Website and security information: cookies or browser storage, device/browser information, IP-related security records, login activity, and operational logs used to run and protect the service.
  • Messages: information you provide through our forms, email, phone, or other communication channels you choose.

Payment details entered on a payment provider's checkout are processed by that provider. Our order-management records contain transaction references and payment/refund status; do not send full card numbers or security codes through general forms or email.

How we use information

We use information to answer inquiries, manage accounts and partner approvals, provide estimates and authorized repairs, fulfill orders, arrange pickup or delivery, calculate shipping and taxes, process and reconcile payments or refunds, administer warranties, and provide customer support.

We also use operational records to manage inventory and referral commissions, maintain accounting and audit records, protect accounts, troubleshoot errors, and address disputes or legal obligations.

Account-setup messages, password-reset links, receipts, invoices, repair updates, and shipment notices are service communications. They are separate from promotional communications. Contact us if you no longer want promotional emails; service-related messages may still be necessary for an existing account or transaction.

Who receives information

We share information needed for the relevant service with:

  • Authorized OTF personnel and service providers, including website hosting, technical support, security, backup, and email providers.
  • Payment providers, including Square and, when you select those methods, Venmo or Cash App. These providers process payments under their own privacy terms.
  • Shipping providers, including Shippo and the selected carrier, to quote shipping, arrange delivery, and handle shipment information. Shipping quotations send the relevant delivery address to Shippo.
  • The U.S. Census Bureau geocoder, when needed to determine the Pennsylvania delivery county for checkout tax calculations. The lookup uses the delivery street, city, state, and ZIP code, not your payment-card information.
  • Your repair partner organization, when it submitted or manages your repair. Its authorized account users can access repair information and updates made available to that organization. OTF's internal notes and internal-only attachments are handled separately from partner-visible updates.
  • Authorities or other parties when necessary, to meet legal obligations, respond to lawful requests, investigate fraud or security incidents, or protect rights and safety.

External booking, payment, social-media, and other linked services have their own privacy practices. Review their policies when using them.

Website email and Google account access

OTF Website Email is an administrative connection for sending website messages from OTF's own Google account. Customers do not need to authorize access to their personal Gmail accounts to receive website emails or use the partner portal.

When enabled, this connection uses Google authorization through WP Mail SMTP. It handles the business sender's account identity and sending aliases, authorization tokens, recipient addresses, and outgoing message content and attachments. Google processes outgoing messages for delivery, and sent messages may remain in the business mailbox under its settings. Authorization uses WP Mail SMTP's connection callback service.

The mail plugin's authorization request can include broad Gmail access, beyond sending alone. Its intended use here is sending website messages and retrieving sender aliases, not importing a customer's inbox or reading unrelated correspondence. The OTF account owner reviews the requested permissions before connecting the account.

Google API-derived information is used only for the described email functionality and related security or legal needs, not sold, used for advertising, or used to train general-purpose AI models. Any use or transfer follows the Google API Services User Data Policy, including its Limited Use requirements. Human access to that information is restricted to circumstances permitted by that policy.

An authorized OTF administrator can disconnect the website mailer or revoke its access through the business Google account's security settings. Revocation stops future API access; it does not automatically erase previously sent messages, recipients' copies, or independently maintained order and repair records. This section describes the connection when enabled, not a guarantee that every service email is delivered through Gmail.

Cookies and browser storage

Our site uses cookies or browser storage for functions such as sign-in, cart state, language preferences, and referral-code preferences. Blocking or clearing this storage can sign you out, reset preferences, or affect checkout. Providers whose pages you visit may use their own cookies. External content and resources can receive connection information such as your IP address and browser details when your browser requests them.

Retention and security

We retain information needed for service delivery, account management, warranty handling, accounting, disputes, security, and applicable legal obligations. Retention depends on the type of record and the reason it is held; no single automatic deletion period applies to all records. Contact us about a specific record or deletion request.

Deleting or closing an account does not necessarily delete invoices, repair history, payment records, or backup copies. Information may remain with payment, email, or shipping providers under their own retention practices.

We use safeguards intended to limit unauthorized access, including account access controls and protected connections. No online service or transmission can be guaranteed completely secure. Keep passwords and account-setup links private. Do not place device unlock codes or unrelated personal files in ordinary repair notes or email; contact us to arrange an appropriate process if access to your device is necessary.

Your choices and requests

Contact us to request access to, correction of, or deletion of your information, or to ask about our practices. We may need to verify your identity and authority to act for a business account. We evaluate requests under applicable law and explain when records need to be retained. If a business partner submitted your repair, you may also need to contact that business about its own records.

You can manage browser cookies and storage through browser settings. A business administrator can revoke the Google connection as described above. Do not submit sensitive identification documents unless we specifically arrange a suitable verification method.

Children

Our online business accounts and purchasing services are intended for adults. If you believe a child has submitted personal information without appropriate authorization, contact us so we can review and address it.

Changes

We may update this policy as our services or practices change. The published policy shows its effective or updated date. Where required, we provide additional notice or obtain consent before making relevant changes.
